Commercial Collection Bureau, Inc. is a specialized commercial collection agency focused on creditors’ rights and helping businesses recover outstanding debts across the country. We are seeking a detail-oriented, proactive, and client-focused Legal Support & Client Services Coordinator to manage legal file forwarding to our nationwide network of attorneys, deliver excellent service to our creditor clients, and support smooth new-client onboarding and system setup.
This role blends legal administrative coordination with client-facing responsibilities and is an excellent fit for candidates with backgrounds in paralegal work, legal assistance, legal administration, client relations, or commercial collections. You’ll play a key role in our legal escalation process while building strong relationships with both clients and our attorney partners. The position is fully on-site in our Minnetonka office.
Requirements
Key Responsibilities
Legal File Forwarding & Attorney Network Support
Review and prepare delinquent accounts for legal escalation
Accurately forward legal files to our nationwide network of creditors’ rights attorneys
Maintain detailed records of forwarded files, including case details, deadlines, attorney assignments, and status updates
Proactively follow up with attorneys via phone and email regarding case progress, settlements, payments, and required documentation
Track legal outcomes and ensure timely, accurate communication back to internal teams and clients
Client Services & Account Support
Answer incoming client calls regarding account status, payments, questions, disputes, and general inquiries
Provide clear, professional, and empathetic communication to maintain strong client relationships
New Client Onboarding & System Support
Collaborate with the sales team to set up new clients in our collection management system (data entry, account configuration, document uploads)
Guide clients through online portal setup via phone, email, or screen share
Troubleshoot technical issues and answer questions about system features, reporting, and access
Ensure new clients are fully onboarded and confident using our tools
General Administrative & Optional Collections Support
Update client and case information in our database accurately and in real time
Assist with other operational tasks as needed
Collections Support (Optional/As Needed): Contact business customers regarding past-due balances via phone, email, and mail. Comprehensive training is provided. This is secondary to the legal support and client services focus; additional hours in collections are available for those seeking full-time work.
Qualifications & Skills
High school diploma or equivalent required; associate’s or bachelor’s degree in business, paralegal studies, legal administration, or a related field is a plus
1–3+ years of experience in collections, accounts receivable, legal administration, paralegal/legal assistant work, customer service, or a similar role. Commercial collections or creditors’ rights experience is a strong plus.
Experience coordinating with attorneys, managing legal files, or supporting legal escalation processes is highly valued
Strong organizational skills with meticulous attention to detail when handling sensitive financial and legal information
Excellent verbal and written communication skills; comfortable speaking professionally with clients, attorneys, and internal teams
Proficiency with Microsoft Office (especially Outlook, Excel, and Word). Experience with collection software or CRM systems is a plus
Ability to multitask, prioritize, and manage follow-ups effectively in a deadline-driven environment
Familiarity with FDCPA and state collection laws is helpful (we provide compliance training)
Positive attitude, problem-solving mindset, and strong commitment to confidentiality and professionalism
